The 3 QuickBooks faults we check first for HVAC, Plumbing & Electrical:
CHK-04 / Account 1160
Bank-feed deposits added directly to 4000 Revenue while synced payments sit in 1160
Clicking Add on processor batch deposits in QuickBooks Online while ServiceTitan, Housecall Pro, or Jobber invoices remain open in Account 1200 Trade AR or recorded customer receipts remain in Account 1160 Undeposited Funds double-counts top-line revenue and leaves stale balances on the Balance Sheet.
CHK-03 / Account 1150
Two-leg credit card and LOC transfer echoes in the bank feed
Deleting one side of a duplicate credit card payment in QBO un-matches the bank-feed line and pushes it back into For-Review. Routing both the checking withdrawal and card payment receipt through Account 1150 Inter-Account Transfer Clearing and verifying a $0.00 month-end clearing balance prevents duplicate transfer postings.
CHK-13 / Account 6150
All field tech payroll lumped into overhead instead of job-coded COGS vs unbilled time
Splitting the gross payroll register between Account 5110 Direct Billable Tech Wages, Account 5150 Labor Burden, and Account 6150 Unbilled Windshield/Shop Time tracks direct labor cost against our 47.7% residential/commercial service planning benchmark.

The $300 Flat-Fee QuickBooks Fix & 48-Hour Diagnostic Sprint
We analyzed 1,275 public Upwork bookkeeping, QuickBooks, and fractional CFO job posts in our internal demand dataset. Across those listings, 63.2% involved bank-feed, credit-card, or Undeposited Funds reconciliation issues, with a $500 median posted fixed-price budget among fixed-budget listings. For a flat $300 (40% below that $500 median fixed-price budget, and 100% credited if you continue with monthly bookkeeping or multi-month catch-up), our CPA, IRS Enrolled Agent, and CFO team reviews your QuickBooks file within 48 hours:
1. 18-Check Forensic Outlier Scan
We connect via QuickBooks Accountant Firm ID (9341456933694243) and audit negative A/R & A/P, Undeposited Funds (1160) bloat, duplicate card payments (1150), and uncoded job costs.
2. Single-Issue Fix or 1st Month Rec
We install the 3-Account Clearing Architecture (1150/1160/1170) and either fix your broken bank/sync rule outright or reconcile 1 benchmark month with a locked multi-month catch-up quote.
3. 100% Credit + Up to 50% Catch-Up Credit
Your $300 sprint is credited 100% toward ongoing monthly bookkeeping (from $500/mo) or multi-month catch-up, plus ongoing clients receive up to 50% off multi-month catch-up fees.
| Urgent Pain Point Category (n = 1,275 Job Posts) | Share of Listings* | Median Posted Fixed Budget | Level $300 Sprint Deliverable |
|---|---|---|---|
| Bank Feed, Credit Card & Undeposited Funds Mess | 63.2% (806 jobs) | $500 median posted fixed budget (n = 3) | 1150/1160/1170 clearing setup + 1st month bank rec |
| Tax-Ready Books & CPA Year-End Handoff | 55.0% (701 jobs) | $500 median posted fixed budget (n = 3) | Retained earnings tie-out + in-house CPA/EA review |
| Chart of Accounts Redesign & Class/Job Mapping | 40.7% (519 jobs) | $500 median posted fixed budget (n = 3) | Trade-specific COA import + item-to-GL mapping |
| BILL, Ramp, Gusto, Shopify, Stripe or FSM Sync Drift | 23.7% (302 jobs) | $1,800 median posted fixed budget (n = 1) | Subledger-to-GL bridge + duplicate ACH guard |
*Methodology note: Based on keyword classification of n = 1,275 deduplicated public Upwork bookkeeping, QuickBooks, and fractional CFO job listings in Level's internal demand dataset. Categories are non-exclusive because single job posts frequently describe multiple overlapping issues (so category shares sum to more than 100%). Posted fixed-budget medians reflect the subset of listings in each category that disclosed a fixed-price budget (most Upwork bookkeeping listings post hourly or undisclosed budgets). Level Operating Standard
The 3-Account Clearing Architecture that keeps QuickBooks clean after catch-up
Standard bookkeeping cleanups fail within 60 days because the underlying chart of accounts still lets bank-feed rules and field software syncs collide. Every CSV template above installs three dedicated balance-sheet clearing accounts (Accounts 1150, 1160, and 1170) that must reconcile to $0.00 (or exact open processor settlement batches) at every month-end close:
| Account # & Name | What It Prevents | Month-End Hard Gate |
|---|---|---|
| 1150 · Inter-Account & CC Payment Clearing | Prevents duplicate credit-card payments, LOC draws, and inter-bank transfers when both bank feeds post the same transfer leg. | Must equal exactly $0.00 on the month-end Trial Balance. |
| 1160 · Undeposited Funds / AR Remittance Hold | Prevents field software payments (ServiceTitan, BuildOps, ServiceTrade, Jobber) from double-counting revenue when the bank deposit arrives. | Zero items older than 5 business days; ties 1:1 to in-transit deposits. |
| 1170 · Merchant Processor & POS Batch Clearing | Bridges gross invoice/POS receipts to net bank deposits after 2.4% to 3.2% Stripe, Intuit, Shopify, or Toast merchant fees. | Ending balance equals only final T+2 weekend settlement batches. |
| 1210 · Accounts Receivable: Retainage Held | Separates 5% to 10% contract retainage from 90+ day past-due trade receivables so bank and surety underwriters do not haircut it. | Ties to job-by-job AIA G702/G703 retainage schedule. |
| 1360 · Uninstalled Staged Job Materials | Holds equipment dropped at a staging yard until installation so ASC 606 cost-to-cost WIP percent complete is never inflated. | Ties to physical yard/warehouse serial-number count. |

QuickBooks cleanup & chart of accounts FAQ
Cleanup cost depends on the number of unreconciled months, your monthly bank and credit-card transaction volume, and how many operational subledgers (such as ServiceTitan, BuildOps, ServiceTrade, Jobber, Shopify, or Toast POS) feed QuickBooks. In our planning model, a 3-to-6 month cleanup for a $1M to $3M business typically scopes between $2,500 and $6,500, while a 12-to-24 month multi-system reconstruction scopes between $6,500 and $18,500. When you pair catch-up with an ongoing monthly bookkeeping and controllership engagement with Level, we credit up to 50% of the Day-1 cleanup fee.
A production contractor QuickBooks chart of accounts should stay under 45 accounts and separate balance-sheet clearing from job-coded direct costs. Specifically, it requires the 3-Account Clearing Architecture (Account 1150 Inter-Account & CC Payment Clearing, Account 1160 Undeposited Funds / AR Remittance Hold, and Account 1170 Merchant Processor Batch Clearing), Account 1210 Retainage Receivable, Account 1350 Costs in Excess of Billings (Underbillings), Account 1360 Uninstalled Staged Job Materials, Account 2450 Billings in Excess of Costs (Overbillings), and distinct Direct Labor (5100), Payroll Burden (5150), Materials (5200), Subcontractors (5300), and Unbilled Shop/Windshield Time (6150).
When an owner or bookkeeper adds a credit-card payment from the checking feed and also adds the credit-card receipt from the card feed, QuickBooks creates two separate transactions. Deleting one side un-matches the downloaded bank-feed line and pushes it right back into the 'For Review' queue. Instead of deleting bank-matched lines, route both legs through Account 1150 (Inter-Account & CC Payment Clearing) so the two entries net to $0.00 by construction while preserving both bank matches.
Undeposited Funds bloats when invoice payments are recorded in QuickBooks (or synced from field software) and the actual bank deposit is added directly to a 4000-series revenue account from the bank feed instead of being matched via Bank Deposit. That overstates P&L revenue and leaves phantom cash on the Balance Sheet. Our Day-1 cleanup ties every bank deposit back to its open ReceivePayment batch or clears historical pre-cutoff residuals against the duplicate revenue account with a documented audit trail.
Across 1,275 public Upwork bookkeeping and CFO job posts we analyzed in our internal demand study, 63.2% of listings sought help fixing bank feeds, credit-card clearing, or Undeposited Funds (at a $500 median posted fixed-price budget among fixed-budget listings). Our $300 Flat-Fee QuickBooks Fix & Diagnostic Sprint provides a 48-hour diagnostic and initial fix led by our CPA, IRS Enrolled Agent, and CFO team: (1) we run our 18-check Day-1 Outlier Scan on your live QBO file, (2) we install the 3-Account Clearing Architecture (Accounts 1150, 1160, 1170) and trade Chart of Accounts, and (3) we either fix a single broken workflow/mapping outright (such as Undeposited Funds bloat, duplicate credit-card transfers, or a Gusto/Ramp/BILL/Stripe/FSM rule) or reconcile 1 benchmark month plus deliver a locked multi-month catch-up quote. Your $300 is 100% credited if you move forward with multi-month catch-up or ongoing monthly bookkeeping.

Questions before treating profit as cash
The margin, cash, and operating questions we check first when reviewing your numbers.
What completed work has not yet become an invoice?
Completion, billing and collection are separate events. A profitable job can still be waiting for a billing handoff.
Which invoices explain the next cash shortfall?
Total receivables can conceal a few large balances that matter more than many small invoices.
Does the cash forecast include the next payroll funding event?
A completed or approved payroll run does not establish the date and net amount that will leave the bank.
